Operations Manager

 
 

The Board of the Missoula Community Chorus seeks an organized, enthusiastic, and collaborative leader who will support the continued growth of MCC through its third decade.  

The operations manager develops and maintains organizational processes and systems to support the three MCC singing groups and provides specific assistance to the Board of Directors (the Board) in managing its fiduciary and governance duties.

Responsibilities

Maintain administrative systems, including session recruitment, registration, payment, timelines/calendars, ticket sales, live stream, recordings, and surveys for concert cycles, as well as corporate documents, using Chorus Connections, Squarespace, and Google Drive.

Complete some bookkeeping tasks, including creating entries in QuickBooks, manage some electronic bill paying, help prepare annual budget, reconcile scholarships, and collect the mail.

Maintain documentation on operational processes for chorus management, fundraising, and marketing.

Collaborate with Board committee members on the creation and dissemination of marketing and fundraising materials and campaigns to promote the organization's events and mission.

Support the Conductors and Assistant Conductors/Chorus Managers by managing operational processes for each group’s concert cycles (e.g., recruitment, registration, payment, etc.) and managing any tasks that are shared across the musical groups (e.g., concert venue, program, etc.)

Coordinate cross-committee or functional activities between musical groups to ensure that group-specific requirements are understood, timelines are met, and concert flows are appropriate.

Coordinate participation in publicity, development, and administrative activities, as appropriate, with the President of the Board.

Requirements

The candidate must be adaptive, collaborative, highly organized, and responsive to the changing needs of the organization.  Excellent writing and editing skills along with a savvy ability for data management/analysis and digital platforms are necessary. 

  • Ability to take independent initiative and be a team player in a collaborative environment

  • Proficiency in Microsoft Office Suite; comfortable working within Google Workspace, experience with data management and chorus management software (MCC uses Chorus Manager to manage registration, singer information and calendars), and web platform software (MCC uses Squarespace).

  • Excellent communications, writing and editing skills

  • Ability to set and meet operational goals

  • Ability to meet deadlines in a fast-paced environment

  • Ability to work occasional weekend and evening hours

  • Sense of humor and appreciation of music

Additional details

  • Location: Missoula, Montana

  • Reports to: President of the MCC Board

  • Works directly with: Conductors, Assistant Conductors/Chorus Managers, Board members

  • Salary: $10,000/annual; This is a part-time, seasonal role.

Working hours are flexible: The choruses provide two sessions per year (September to December and January to May). When in session, the role requires 12 hours a week. During the off-session periods, occasional hours may be required, such as the Board retreat in June, and recruitment campaigns in August.

Meetings: Attend Board meetings as an ex-officio member to report on administrative and operational activities, including the annual Board retreat. Attend ad hoc meetings with Board committees, musical group leadership and others as necessary. Attend rehearsals if necessary; attend concerts.
